Invoice templates and branding in AccBooks AI

Overview

AccBooks generates professional, VAT-compliant invoices automatically. The template system lets you add your branding — logo, colours and custom text — so invoices look like they came from you, not from generic software.

Accessing the invoice template

Go to Settings → Sales → Invoice template.

  1. Click Upload logo.
  2. Upload a PNG, JPEG or SVG file. Recommended: 400×200 pixels or wider, transparent background preferred.
  3. Preview the invoice on the right — your logo appears in the top-left corner.
  4. Click Save.

Colours and fonts

Under the Design tab:

  • Primary colour — used for headings, table headers and the total box. Enter a hex code or use the colour picker. Choose your brand colour.
  • Font — choose from 12 professional fonts optimised for invoices.
  • Header background — use your primary colour or keep it white.

Company information on the invoice

AccBooks automatically includes:

  • Company name and address (from Settings → Company).
  • VAT number (if you’re VAT-registered).
  • Company registration number.

To change any of these, update them under Settings → Company → Business details.

Invoice numbering

Set your invoice number format under Settings → Sales → Numbering:

  • Format: Choose a prefix (e.g., “INV-”) and the number format (e.g., “0001” for zero-padded 4-digit numbers).
  • Starting number: Set the next invoice number if you’re continuing a sequence from another system.
  • Annual reset: Toggle to reset the sequence each calendar year (e.g., INV-2026-0001, INV-2027-0001).

Payment terms

Set your default payment terms under Settings → Sales → Default payment terms:

  • Due on receipt
  • Net 7, Net 14, Net 30, Net 60, Net 90
  • Custom: enter a specific number of days

You can override the default on individual invoices.

Payment instructions

Add your bank details to the invoice footer so customers know how to pay:

Under Settings → Sales → Payment details, add:

  • Account name
  • Sort code
  • Account number
  • IBAN (if you receive international payments)

These appear at the bottom of every invoice, reducing payment delays.

Custom fields

Add up to 5 custom fields to your invoices for information specific to your business:

  • Purchase order number (PO number)
  • Project code
  • Delivery address (if different from invoice address)
  • Contract reference

Go to Settings → Sales → Custom fields, add each field and choose whether it’s required or optional when creating an invoice.

Add standard terms and conditions or a friendly payment message under Settings → Sales → Invoice footer. This text appears at the bottom of every invoice.

Example footer:

“Payment is due within 30 days of the invoice date. Late payment interest at 8% + Bank of England base rate may apply in accordance with the Late Payment of Commercial Debts Act 1998.”

Multiple templates

Create different templates for different customer segments — e.g., a formal template for corporate clients and a simpler one for retail customers.

Go to Settings → Sales → Templates → + New template. Assign a template to a customer under Customers → [customer] → Settings → Invoice template.

Preview before saving

Every change in the template editor shows a live preview on the right side. Click Preview as PDF to see exactly what the invoice will look like when downloaded.
