Setting up the AccBooks AI mobile app

Overview
The AccBooks mobile app lets you approve transactions, review AI activity and check your cashflow from anywhere. This guide covers installation, sign-in, and the key mobile-specific features.
Downloading the app
- iOS (iPhone / iPad): Search “AccBooks AI” in the App Store, or scan the QR code shown at Settings → Mobile app in the web app.
- Android: Search “AccBooks AI” in Google Play, or scan the QR code from the same Settings screen.
The app requires iOS 16+ or Android 10+.
Signing in
Open the app and enter your AccBooks email and password. If your company has 2FA enabled, you’ll be prompted for your authentication code.
Biometric sign-in: After your first login, the app asks if you’d like to use Face ID (iOS) or fingerprint / face recognition (Android) for future sign-ins. Tap Enable and authenticate with your device biometrics. After that, a quick scan opens the app without typing your password.
Switching companies
If you’re a member of multiple companies, tap the company name at the top of the screen to open the company switcher. Tap any company to switch to it.
Approving transactions on mobile
The Approvals tab shows everything waiting for your review:
- Bank transactions that the AI has classified but flagged for human approval.
- Invoices awaiting sign-off.
- Payment runs pending authorisation.
- Journal entries that require a second pair of eyes.
Swipe right to approve, swipe left to flag for further review. You can also tap any item for the full detail view and leave a comment.
Offline mode
The mobile app queues approvals when you’re offline (in the underground, on a plane, etc.) and syncs them automatically when you reconnect. A small banner at the top of the screen shows how many actions are queued.
Push notifications
The app sends push notifications for:
- Transactions flagged for your review
- VAT filing deadlines approaching
- Invoice payment received
- Bank feed errors
Go to Profile → Notifications in the app to choose which events trigger a push. You can also set quiet hours so you’re not disturbed outside business hours.
Capturing receipts
Tap the + button and choose Photograph receipt to use your camera. The AI extracts the date, supplier, amount and VAT from the photo and creates a draft transaction. Review it and tap Post to record it.
Dashboard on mobile
The mobile dashboard shows:
- Bank balances (all connected accounts)
- Outstanding invoices total
- Upcoming payments
- Net cashflow for the current month
Tap any figure for the underlying detail.
Troubleshooting
Push notifications not arriving: Check that AccBooks has notification permission in your device’s Settings → Notifications → AccBooks AI. Also ensure Low Power Mode isn’t suppressing background activity.
App crashes on launch: Delete and re-install the app. Your data is stored server-side and nothing is lost.
Biometric sign-in stopped working: If you change your phone’s biometrics (add a new fingerprint, etc.) the app resets biometric auth for security. Open the app, sign in with your password, and re-enable biometrics in Profile → Security.
