Inviting your team to AccBooks AI

Overview
AccBooks uses role-based access control so every team member sees exactly what they need — nothing more, nothing less. This article explains each role and how to send invitations.
Roles at a glance
| Role | What they can do |

| Owner | Everything, including billing, deleting the company and inviting other Owners |
| Accountant | Post journals, file VAT returns, produce statutory accounts, manage settings |
| Bookkeeper | Classify transactions, upload documents, approve reconciliation matches |
| Read-only | View dashboards, reports and documents — zero write access |
A company can have multiple Owners. The person who created the company is automatically an Owner.
Sending an invitation
- Go to Settings → Team.
- Click Invite member.
- Enter the person’s email address.
- Select their role from the dropdown.
- Optionally add a personal message.
- Click Send invitation.
The invitee receives an email with a one-click link. If they already have an AccBooks account the link signs them in and adds your company to their portfolio. If they’re new, they’ll be prompted to create a password first.
Invitations expire after 7 days
If your colleague hasn’t accepted within a week, the invitation link expires for security. Go to Settings → Team → Pending invitations and click Resend to generate a new link.
Changing a team member’s role
Go to Settings → Team, find the member, click the three-dot menu and choose Change role. Changes take effect immediately. The member does not need to log out and back in.
Removing a team member
Click the three-dot menu next to their name and choose Remove from company. They lose access immediately. All data they created (journals, uploads, notes) is retained — ownership transfers to the company Owner.
Accountants managing multiple clients
If your accountant uses AccBooks in agent mode, they can access your company from their own firm dashboard without a separate invitation. Ask them to send you an agent link request from their firm portal, which you approve from Settings → Team → Agent access.
Two-factor authentication
Owners can require 2FA for all team members under Settings → Security → Enforce 2FA. Once enabled, any member who hasn’t set up 2FA will be prompted to do so the next time they sign in.
Audit trail
Every action taken by every team member is logged with a timestamp and IP address. Go to Audit log in the left sidebar to review the history.
